Reception Manager

In the SKILLS FACTORY on Samos crafts(wo)men from all over the world come together to share their expertise and their ideas, to learn with and from each other and to produce the things they need the most, themselves.

Our reception is the entry point to the SKILLS FACTORY. It is where we welcome everyone, try to answer all kinds of questions, book appointments, register new members and support the team with everything they need.

The SKILLS FACTORY is managed by craftspeople from the refugee community, connected through locals, facilitated by external volunteers and supported by the board in Switzerland.

As reception manager, you will be responsible for:

  • Managing and overseeing the reception area/office of the SKILLS FACTORY.
  • Managing the phone intake and -administration for the department of phone repair.
  • Receiving and assisting all volunteers, customers, and visitors at the reception.
  • Scheduling appointments with new applicants, registering new team members, creating and maintaining the electronical and physical dossiers of up to 45 people, organizing goodbyes and birthdays).
  • Providing general assistance and supporting the welfare of team members.
  • Ensuring constant and sustainable development of the office.
  • Helping with general tasks in the SKILLS FACTORY.

Your daily tasks:

  • Attending the morning meetings with the department coordinators and facilitators to assess needs, Community Volunteer applications, upcoming events, and general tasks.
  • Working together with the Office Coordinator and completing daily handovers.
  • Receiving customers for phone repair, registering broken phones, ordering spare parts, overseeing orders and bookkeeping for phone repair.
  • Maintaining staff check-in and -out, updating and maintaining the calendar and electronical and paper files.
  • Answering messages on the office phone and SKILLS FACTORY email account.
  • Organizing test days for new applicants together with the department facilitators.
  • Organizing goodbyes for departing Community Volunteers. 

Requirements:

  • Experience in administrative positions and/or a humanitarian context.
  • Strong computer skills.
  • Fluency in English (spoken and written); additional languages like French, Arabic, Greek, or Turkish desired.
  • Highly motivated, well-structured and reliable
  • Calm, friendly and humorous even in stressful situations.
  • Willing and able to deal with difficult situations and maintain healthy boundaries.
  • Ability to work in a diverse team while emphasizing people’s skills and needs.
  • Open to learn with and from colleagues
  • Belief in our values, philosophy and vision.
  • Available for at least 3 months (as soon as possible)
